Responsibilities
- Own task hygiene across all active client projects in ClickUp, Asana, or Monday
- Track deadlines and flag blockers before they become problems
- Coordinate across designers, developers, and account managers to keep work moving
- Send proactive client status updates in clear, honest written English
- Maintain project documentation: briefs, scope, change logs, deliverable schedules
- Run daily standups or async check-ins to keep visibility across the team
- Track time entries and ensure project hours are logged accurately

- Owning the client relationship or driving strategy (handled by Account Manager)
- Originating creative direction or shaping creative output
- Managing the agency itself or owning ops at the company level
- Personal admin or executive assistance for agency leadership
- Resourcing decisions, contractor hiring, or budget authority

How fast can I get started?
Most operators are matched and introduced within days of scoping. From there, your operator learns your tools and gets to work, most clients see meaningful production in the first two weeks.
What if the operator isn't the right fit?
We replace them. Within 30 days of your request, we place a new operator into the role, and in most cases, within two weeks. Your first replacement is free; after that, a $500 re-onboarding fee applies.
Do I need to onboard them?
Operators start agency-trained. You'll provide context on your systems and SOPs, Beam handles the contractor relationship, training, and ongoing support.
What's the difference between a Project Coordinator and an Account Manager?
A Project Coordinator owns execution, task hygiene, deadlines, internal coordination, and proactive status updates to clients. An Account Manager owns the client relationship, strategy, growth, scope conversations, and commercial decisions. Different roles, different seniority, different scope. Beam Project Coordinators don't drive client strategy or own commercial conversations, they coordinate the work that's already been sold. If you need someone to grow accounts or own client P&L, that's a different role (Beam doesn't currently place Account Managers).
